No Show/Late Cancellation Policy

At Soulstice Studios, we want everyone to have the opportunity to experience our group-fitness classes. One of our top priorities at this studio is to keep you committed to your goals and staying on track with your commitments.  To make sure we can accommodate everyone who wants to take classes, we are introducing our group-fitness class reservation and cancellation policies for our clients/members and guests.

At this time, no fees will be charged for child care (12+ months). Please be mindful and cancel as quickly as you know you don't need it. That said, if it becomes an issue, we will instill this policy for that as well. Fees DO NOT APPLY to INFANT CARE

GROUP-FITNESS CLASS AND INFANT CARE CANCELLATION POLICY
You/your infant are reserved for a class but something comes up and you can't make it. What should you do?

We get it, things come up, you don’t feel well, and your kids are sick; life happens. Cancel your reservation IMMEDIATELY by using our Zenplanner App and clicking on the CALENDAR option to view and cancel the session you are booked for. Or you may go online through our website cancel. These are the ONLY ways to cancel a class!

We will no longer be accepting messages via Social Media, emails, phone/text as a means of cancellation!

If you need assistance on understanding HOW to cancel a class, please let us help and show you BEFORE a class is cancelled. We are here to help and want you to feel comfortable with the app and the cancellation process.

Please cancel reservations up to NINE HOURS of a class starting time so that someone else can experience the great workout you'll be missing. If you cancel after 9 hours AKA, “late cancel” you are charged $5, If you fail to cancel a reservation and/or don't make it to class, we will charge a $10.00 "no show" fee*. (If there should be a sudden and TRUE emergency within the nine hour window, please contact us directly by email ONLY.)

Late Cancel = less than 9 hours BEFORE class begins $5 per time

No Show = When class has begun $10 Per time

Why did you create this policy?

  • We have a set number of spots in each class at Soulstice Studios. When someone has a spot reserved in a class, and another member is not able to get into the class (is on the waitlist), we expect that the member will either show up to the class or cancel early enough that we can allow someone from the wait list to take their spot. 
  • We have several members who have been reserving their favorite classes indefinitely, to make sure they get a spot, but then not coming to all of the classes they have reserved; as stated above, they are taking a spot from someone on the wait list who could have been let into the class. 
  • Instructors need to be paid! When attendees cancel, it ensures our instructors still get paid for their time. Due to this, late cancel applies no matter how full the class is!
  • Above all, we just want people to be aware of which classes they are signed up for and to remember to cancel when they know they won’t be able to attend. 

What happens if I have an emergency or unforeseen circumstance? 

If you have an emergency (e.g. car trouble, injury, sudden sickness) and are not able to cancel within 9 hours of the class start time, please email {SchoolEmail} and we can work with you. We know that things happen and life is unpredictable! 


Important notes:

  • If you do not have a credit card on your account and/or if it is declined, your account will show a negative balance and you will be required to balance this out upon your next visit.
  • If you are ill and unable to attend your scheduled class, please let us know immediately to avoid the cancellation fee being charged. You will not be able to attend classes for 72-hours post notification/late-cancel.
  • Pay per session/Drop In/Group Packages (not unlimited) not cancelled before the 9-hour window or client no-show will result in a forfeit of the reserved class; losing the session/class.
